Transcript for "Introducing Alto IQ":
Hi. Good afternoon, everybody, and welcome to this lunchtime live demo. Just wanna say thank you so much for joining us this afternoon, during your lunch break. It is your lunch break right now. My name's Madeline, and I'm a senior software trainer here at Alto. And I'm gonna be taking you through a quick sort of whistle stop tour of our analytics as well. Just to make you aware, it is a relaxed session, so you can sit back, you can watch, and you can just sort of understand what I'm gonna sort of run through today. To make you aware, we do have experts back stage who will be able to answer any questions that you might have in regards to our analytics as well. And, also, in the docs section, you will also find some helpful resources, which you can click on, you can download, you can have a read through as well, which might help you understand when it comes to the analytics. So what I'm gonna do is I will share my screen so you're able to see, in regards to let me bear with me. So what I'm doing is you'll be able to should be able to see my auto training database at the moment as well. And what we do have here is, I'm gonna take you where to find the analytics. So as you might be aware, last week or I think it was last month, we actually hosted an Alto Intelligence live showcase where we kind of introduced some of our new, things that we do have coming as well. But the first one and the one that I'm gonna be showing today is to do with, like, your data analysis capability as well. So we've launched the Alto IQ. Not gonna jump straight into the Alto IQ, though. I am actually gonna go show you where the analytical reporting is within Alto, and then show you a couple of nice great features within there, and then I'll show you how the IQ side works as well. So when you're in an Alto database, you'll have at the top here your reports, and we've got our analytics reports. In our analytics, we'll have a nice library of different reports that are actually available to you as well. And you can see here that I've got a nice list down here. I've got lettings pipeline. So it's built for lettings and sales as well, and you've also got anything in regards to property management. You can also see I've got a couple on here which I've actually created myself as well. But if we go into one of the reports just to show you how the data sits within these reports, and I'm gonna go into the property management compliance one. Within this report, you'll get a nice visual view as well, And all of these reports can be filtered down as well. So if you want to filter it down by your branch, property managers, by landlords, property addresses, management type, and obviously if your properties are archived as well. This one in particular, like I said, there's lots of different reports in here and more are being built all the time. You'll see that it's we've got gas safety ones, electrical, EPC critical, and management dates, which I have actually seen the question at the beginning in regards to public liability. Management dates is gonna be a great one that you could use for public liability. So thank you so much for that question because it will help you run this demo as well. Under the management dates one, this is where you're gonna find, overdue management dates, no due date sets or management type as well. In regards to being able to find those public liability dates coming up, you would need to ensure that the data is inputted correctly within the record on auto as well. But each one of these reports as well, you can see this one is a smaller one, but it's broken down into our overdue dates. You can see I've got quite a few dates in there, and it's also showing me what, what I don't have set as management dates as well. So it's giving me a really good outline just here by clicking on these so I can see my pet electricals as an example. These are all the ones that I've got no due dates set as well. On each one of these, you've also got the ability to click on the little three dots, and you can show the underlying data in these. You're able to download. You're able to present this information. So if you want to present it within a in a a meeting, for example, and you can also make copies and pins. But the pins we'll have a look at in a minute because that's where you can create your own customized boards as well. If I was gonna go in and I was gonna show my underlying data, what it's gonna give me, it will give me a nice table of the data that I have. We'll just wait for it to load. And you'll see here it's given me a table, which is broken down into the property address, the management type, the branches, and it opens out into the tenancies as well. So it's a direct link back into that tenancy record, the management status, and a couple more on there. But what you can do is a little bit further steps on this is you can come in and you can edit columns. So you can add additional columns into this table as well. So I might want to go in. I might need to understand my landlord's emails, number, and mobile as well. So I want to add that additional information. When I click done on that, it's gonna add those additional columns for me as well. And then I've also got the ability at the bottom to be able to download this as a CSV report. It will download to my computer, my laptop. It will save into my files. And if need be, if it's something that I need to share out somewhere, I can actually send this out via Alto as well from a contact record attached to an email, and I've got the record on Alto as well. So everything is visible within the same system. Just another good example of that that I want to show as well is, in regards, like, for works order. So if you're in the letting side of it, if I go back into my analytics main dashboard, but I'm just gonna highlight something else as well, You can see I went through the list down here, but what you've also got the ability to do is favorite your reports as well. So you can see at the top here, I've starred a lot of these reports. So these are the main ones that I've got as property management compliance, the maintenance, my lettings pipeline, and these other ones here are ones that I've actually created as my custom reports. So if I wanted to look at the maintenance side of it as an example, so this is another good example just in regards to maybe you've got a lot of open works orders, or you need to communicate with particular contractors as well to advise them that you've got lots of open works orders for them and you want to be able to report to them, give them a nice list of these open works orders, and send them out via router as well from that same method that I just showed you by bringing in the underlying data. But, again, you can filter it down. So I might just say, I just need to see exactly what British Gas has got outstanding with me at the moment, and I can just apply that in that manner and use my three dots. So I've got 90 outstanding works orders. I can show under show the underlying data, download that CSV like I just showed you, and attach it to an email. What you can also do, as I mentioned earlier, is you're able to create those custom reports as well. Creating those custom reports is quite a simple you can pin. So if you want to bring different parts in, like I said, you can use this on lettings. You can do this on sales. So if I go back into here and what I might want to understand within my sales, if I was in the sales side of it, if I just bring my sales report in, so I've got a sales pipeline. Okay. I might just want to understand what my projected fees are within my branch. I might want to understand my average fees, and I just want that as one report on its own. So I can go here, and I'm able to pin like this. And then you can see I've got these live boards at the moment. But I might just want to put this in a sales one, sales pipeline, for example, and I just want Okay. Just giving it a tick, and then I'm simply pinning it to its own dashboard. It's not taking me into that dashboard, but I'm gonna show you one that I made earlier. So within there, you'll see in this main screen, I've got here under my library, I've got yours. So these are all of my dashboards that I've created, my custom ones, but I've also starred them so that they're at top here as well. Gonna reflect a little bit back on this and go back into, British Gas Works orders because this is one I prepared earlier. And you'll see here, this is my own dashboard that I have actually created for British Gas as an example. So you can see that I've got a custom dashboard that shows me for my branch how many open works orders I've got for British Gas, and I've also got the pin of the table of the information there as well. And I've also got an additional tab on there that shows me my other works orders as well, for example, if it was ones that I had on hold. What you can do is you can edit these as well. So I can edit these and I can add additional tabs. So if I want to create another tab for another part of this particular report as well, I'm able to create that additional tab. You can also in here as well, you can add filters. So you've got filters down the left hand side. You can add notes to your reports as well. So if you've got, different negotiators, property managers, whoever you've got coming into these reports, you can add a note in there to advise them what this report is used for or any updates that you want to add into that report as well. Also, so you would need to save everything as you're doing it as well. Just to kind of highlight then, so what you've got is you've got the all the different types of reports within analytics. So it breaks it down. You've got your sales. You've got your lettings. You've got property management. Many things that you can choose from. You can also create your own custom reports within here as well. And you can also share any sort of information out via this reporting system through Alto so everything is visible within your agency. The final little part that I'm gonna show on this demonstration as well today is in regards to the AltoIQ. So this is what it's really about as well is the AI side of it. So what you have is you've got your AltoIQ, and you can ask the analytics to create these reports for you. Okay? So you can put in any information that you want. You can ask it questions. You can get it to really drill down into your data. So I'm just gonna pop a question in here. But what I do have is one that I've already generated as well just in case this one takes a little bit of a time to create this information for me because it is a training database, so it's got lots of different information on here. So you can see what I've put in here. It said is what is the trend in the appraisal to instruction conversion rate over the last six months? What it's doing at this point is it's fetching that relevant data context for me. It's breaking it down. It's analyzing all that data that I do have available on my soft on my particular database. And now it's gonna query that trend over the last six months. So, again, it's fetching the data. I'm gonna talk you through this because it seems to be working quite quickly online today as well. But just to kind of highlight on this as well, when you're talking to this AI side, it has to be just normal language as well. So no complicated languages, keeping it quite simple and everything as well. You can see it's created this report quite quickly for me. So you can see what I've got here. It's created through the AI. It's pulled all of my data. It's create that report of appraisal to instruction conversion rate trend in the last six months, and it's given me a nice sort of graph on here. It's got my key findings in each month, so it's given me a percentage conversion rate. And then it's given me a trend analysis as well. So it it's it showed me what my peak performance is, my recent decline, my starting versus my current position and the overall pattern as well. So it really gives me a really good in-depth insight into what's happened within this data, what's been going on within my agency and my business as well. But you can take it one step further on here. You can pin. You can save this report. You can download the report, and you can also go in and edit the report as well. So there's different sort of things that you can do within here. You'll see that I've got another one here as well just sharing on this tab that I've got. So I've done another one of total commission at completion by branch for one month. Okay? So, again, it's given me a nice bar graph. It's given me the key insights. So it's given me the different branches that I'm sort of reporting on. So it's Wardell and Co, Madeline Estates, and it's given me some highlights to on top of this as well saying that Wardell and Co, my branch for Wardell, leads with the highest commission at completion this month of £31,500. So it's kind of really given me a good insight, and it's showing me which branch is actually doing better in the last month when I'm doing a comparison on it. And just to kind of share on another one as well, I'm just giving you some really good highlights of some different questions that you can ask. So this one I asked it to show me the trend in total commission exchange over the last twelve months by branch. And, again, it's given me a graph which I can pin. I can save it. I can download it. I can edit it as well. It's giving me my key observation, so it's broken it down between all these different branches again. And it's also given me an overall trend. So it's giving me my q one for 2026, and it appears to be a strong period across multiple branches. Again, Wardell and Co, Madeline Estates as well, and obviously showing all the elevated commissions. So what I've given you there is a good sort of quick whistle stop tour of the analytics, how you can use the IQ. There are many different questions that you can ask this as well. Like I said, it it's just normal that you need to give it as well. So just speak to it as normal as you can. It will then create that report for you, and it will also you've got those options to save them. So I and I can even download that report as well. It gives me the option to download it as a PNG, XLS, and a CSV. I can save that report as well. So I can put that and save that into my analytics, and I can also make any edits, and I can pin that report as well. I can pin that to one of my custom dashboards. A really good example of this as well is in regards just to sort of highlight renters rights as well is in regards to when you're converting tenancies. A tenancy is gonna convert, and it's gonna show the periodic new periodic term. But you can also ask the AIQ in here as well, the aids, Alto IAI. You can also ask it as well to create a report that shows the move in dates or the original tenancy start date. So you've got a nice report that you have to hand that shows you all that relevant information that you need. So IQ out of IQ is just one aspect, but there is so much more to explore. What this is, hopefully helping do is to help make your, day to day a lot easier, more efficient, and everything within your agency. What we would like to say as well is if you would want to get a full demo on this with one of the relevant with the appropriate team, you can see in the top right hand corner here, it says get your tailored demo. If you click on that, that's where you can book in a demo with the relevant team so you get a full in-depth demo as well. And then also take some examples of what you are looking for. They'll put it into the into the database. They're gonna show you how this works in the AI side. That's it for me in regards to the demo, but I just wanna say thank you so much for joining. Obviously, please book your demo as well to get a full in-depth, demo on the Alta AI and the analytical side of it as well. And just to remember, if you're you when you're using a CRM and you're using reporting analytics, what you get out of reporting is exactly what you get is results in what you put in as well. Okay? But to finish and finalize on that, you'll see I see there are some questions that have come in, and they have being answered as we go through. If any questions we've not able to answer on here, we will follow-up with them. But just, to close this demo today, I just want to give a bit of a highlight to say we are doing a giveaway. So So we are gonna take the final numbers of everybody that is registered for today's session and who has actually attended the session today. And we will be bringing that all together, and we will be bringing out a winner, later on today in who will win a £250 voucher. So that is, basically us saying thank you so much for registering and joining us today and letting us show you how our auto analytics works. Okay? So, again, thank you so much for joining. Thank you for watching the demo in regards to auto analytics and joining us on your lunch break as well on a Thursday afternoon. Very sunny Thursday afternoon. Have a great day, and see you all soon.
